Case study · Debt Recovery

Sheriff & Penny

A manual, paper-based enforcement process turned into a system that generates letters, builds case files and tracks progress on its own.

(The Brief)

Every case, done by hand.

Sheriff & Penny have been recovering debts for UK landlords and businesses since 2003, legally, professionally and with no upfront costs. The reputation was solid. The process was not. Every instruction arrived as an email. Every letter to a debtor was typed by hand. Every case file was built from scratch. They needed a digital presence that matched their standing, and they needed the manual labour gone.

The Challenge

Two audiences, one site. Landlords and businesses need total confidence that their case is in safe hands and moving. Debtors need to understand that the process is professional, legitimate and not going away. And behind the scenes, the office was spending hours on admin that followed the same steps every single time. The same letter. The same calculations. The same folders.

The Approach

Build the premium public face, then rebuild the workflow underneath it. The website became the front end of a system. Instructions come in through structured forms, and letters, case files and client tracking go out automatically. The brand looks the part, and the backend does the paperwork.

(The Work)

I

Identity & Web Design

A premium digital identity and a site built for trust. Two decades of expertise presented with the confidence of a firm that means business.

II

Instruction & Onboarding

Structured instruction forms that capture every detail the office needs, so nothing arrives half told and nothing gets typed twice.

III

The Automation Engine

The workflow rebuilt end to end. Letter generation, case file creation and client tracking, all wired into the website and all running without human hands.

(The Pipeline)

From instruction to enforcement.

Every case used to start with an email and an hour of typing. Now it starts with one form, and the four steps below run themselves.

01

Instruction Received

A landlord submits the debt and debtor details through the site. The office gets everything it needs in one structured hit.

02

Letter Generated

The correct enforcement letter builds itself. Fees calculated, dates inserted, ready to post.

03

Case File Created

A Dropbox account is created in the debtor's name. The letter is filed, folders open, ready for enforcement agents to upload evidence and photos from the field.

04

Case Tracked

The landlord's dashboard updates at every stage of the case. No calls. No chasing.

(Landlord Case Tracker)

No more phone calls.

Sheriff and Penny landlord case tracker dashboard

Before our website redesign, a landlord's only way to check on a case was to call the office. We built a full CRM directly into the Sheriff & Penny website, no separate login, no third-party portal, no app to download. The moment a landlord's first case is submitted, an account is created for them automatically, with a branded welcome email waiting in their inbox.

From there they can see every case they've got running, and drill into any single one to see exactly which stage it's at and what's happened so far. It's the same visibility the office team has internally, handed straight to the client. This is exactly the kind of build we take on: not a plugin bolted onto a site, but a system designed around how this specific business actually works.

(Visual Identity)

Quiet, on purpose.

Legal and enforcement work needs to read as credible, not flashy. A dark, restrained palette and a clean sans typeface keep the site feeling procedural and trustworthy rather than like a marketing site.
